Recently, the industry has noticed a dramatic uptick in the amount of notices the Internal Revenue Service and the various state revenue agencies have mailed to taxpayers. Changes in the tax law or taxpayer situations have spurred most of the notices, which can often times be unwarranted.

All notices that are mailed have a respond by date so the agency can enforce action on the taxpayer if the notice is not addressed by the response deadline. Companies and individuals should forward the notice to their accountant to address the situation promptly, and respond by the date stated on the notice. There are many situations where the notice can be resolved by a telephone call to the agency. These calls should be properly documented with the date/time, agency representative, summary, and confirmation of any procedures that need to be performed to resolve the situation. If the notice requires mailing a response and associated documentation, we suggest that these be delivered to the agency by fax or certified mail to have a proof of receipt by the agency.

The IRS and state agencies are beginning to rely more heavily on electronic matching in trying to catch inaccuracies with tax filings. Computer generated notices are not always correct as they are dependent on information that is entered into the system, which may be inaccurate.
